Long-term file-sharing on Strathcloud, using "Hosting Accounts"

 

Strathcloud makes it really easy to share files on a one-off basis, by emailing someone a link to a file : or on a short-term basis, by creating a folder yourself, and giving someone else permissions on it.  If you're not sure how to do either of these, you can search the Citrix website for further information.

However, what about sharing files long-term?  If you're going to do this through Strathcloud, it needs a bit more planning.  Suppose for example, you create a folder in your own "My Files and Folders" area, you share it with some colleagues, and then later you leave the University - then, all the data in that folder will be deleted when your account is deleted.  If your colleagues ask quickly enough, then IT staff may be able to retrieve the files, but even then, this will be quite inconvenient for your colleagues, and for the IT staff too!  So, if you're going to share data long-term, and you don't want it to be deleted when the "host-user" of the folder leaves the University, then you should ask your local IT support to create the shared-folder for you, under a "hosting account".  This is a special account which will never be deleted, and is therefore designed for hosting long-term shared-data on Strathcloud.
