General Information

All students who are undertaking full or part-time study in the University are required to register at the start of each academic year (October to September).

Registration information is normally sent to students approximately 3 weeks before registration. Registration information for students with addresses in the EU will be posted out until 28 August.  For students with non EU overseas addresses, Registration packs will be held at Registry for collection. 

Registration combines a number of procedures that are convenient to ask you to complete at the same time.

  • Personal Details are updated.  These include addresses and telephone numbers.
  • Your course and year of study will be confirmed for the new session.  Any changes to classes can be approved at this stage by the Adviser of Studies.
  • The Finance Office will need to know how tuition fees will be paid.  Students who have applied to Student Awards Agency for Scotland (SAAS) or a Local Education Authority must bring their award letter with them (if available).
  • Issue of Student Identity card

Registrations outwith the main registration period

Starting on the week following Late Registrations, and until end of October each year - registrations will take place at faculty counters in Registry, McCance Building, between 1300 and 1600 each Tueday and Thursday.

From November until the main registration period of the following year, registrations will take place at faculty counters in Registry, McCance Building, between 1300 and 1600 each Tuesday only.

Important Notes
After end of September, due to the possibility of reduced staffing levels in the Assembly Hall , please note that unavoidable delays may occur. 

Any amendments to the above information will be published in the foyer of the James Weir Building during the main registration period and thereafter on the main Registry noticeboard in McCance Building.


Fees

The tuition fees you are required to pay are printed on your Registration Form. You are liable for payment of your tuition fees on or before registration (University Regulation 7.1.1).

Registration Process

Registration is an important process but, unfortunately, can involve having to wait patiently in a queue to complete the various components. The main Registrations take place in the Assembly Hall, Royal College Building at the dates and times shown above.

Before going to the Assembly Hall it is imperative for some students to have an interview with an Adviser of Study. If you are expected to do so, the date, time and place for this interview will be indicated at the top of your blue and white Registration Form. If there is no date, time or place printed on your form then you do not require to see an Adviser and you can proceed directly to the Assembly Hall.

The Registration process in the Assembly Hall comprises the following components:

  • On arrival at the James Weir Building, go along the corridor on the left of the Security box. Take a numbered ticket from the Ticket Dispenser located at the end of the corridor (before stairs down to Assembly Hall).
  • There is a monitor display situated on the left, outside the entrance to the Assembly Hall. We estimate that it takes approximately one hour to register 200 students. To save time, do not wait until your number is displayed on the screen: go into the Hall about ten numbers in advance of your number. When your number appears on the screen in the hall, you should approach the checker who will check all the details on your Registration Form. It is important that your personal details are correct as these will form the basis of your Record held in Registry.
  • Once your personal details have been agreed and updated you will be sent to the Finance Desk. Staff from the Finance Office will check your fee status and if you have to pay fees you will be expected to do so at that stage either in full or by making arrangements to pay by instalments.
  • You should now proceed to the Registration desk. This is the point where you are officially 'registered'. If you have a Student Loan award and have your awards letter with you, staff will input your Student Support Number to facilitiate payments to your bank. If you are a Continuing student with a valid ID card, then your registration will be complete at this point. If you require an updated card, please proceed to the Card Issue Desk.
  • The next stop for new students is the card issue section, where your photograph will be taken and you will be issued with a Student ID card, with your personal details printed on it and a bar code for entry to the library.

Hopefully the entire process should take no longer than 30 minutes. However, it should be noted that approximately 10,000 students have to be registered in 7 working days and that the queues can be quite considerable at some times of the day. Senior staff from Registry will be on hand to control the queue and to advise students of the expected waiting times.

How to check your Registration Form
Personal Details: Please amend any of the details in this section, if necessary, by writing neatly in the boxes provided.

Important Notes

  • Your full name should be used, as you would wish it to be written on your degree/diploma parchment when you gain your award. Initials will not be accepted.
  • You must give a term-time/UK contact address (see Accommodation Type below). If you do not supply this information, you will not be permitted to register - please note that department addresses will not be accepted.
  • You must also provide a permanent home address [Regulation 6.4.9].

Accommodation Type
The University requires to know where you are staying during term time.

If you are staying AT HOME (Parental or Marital residence) : enter Code HO. If you enter Code HO you should leave the term time address area blank and your term time address will be recorded as the same as your permanent home address. If you are staying in LODGINGS or a private flat: enter Code LO and enter the full postal address of the accommodation, with the Postcode.

If you have applied for a place in University Residences, but the details have not been printed on your registration form - please leave Accommodation Type blank (Residence information will be updated in due course).

If any information in this section is incorrect, you should inform the staff at Registration and they will make the necessary amendments.

Undergraduate Curriculum
Any compulsory classes will be shown on the back of your Registration Form. If an interview with your Adviser of Studies is indicated at the top of the form, you cannot register until your Adviser has completed your curriculum and signed the Authorisation to Register.

Emergency Contact Details
It is important that Registry knows who to contact in an emergency; when you first log on to your computer account, you must complete your Emergency Contact Details Details. Continuing students need only amend details if changed from the previous year.


Online Registration for Continuing Students

If you meet ALL of the following criteria you may not require to come to the Hall to register in person:

You are eligible to continue if:
1. you have a pass/proceed decision from the Board of Examiners
and
2. you have an approved curriculum
and
3. you are funded by SAAS or have paid your fees
and
4. you have no other debts to the University

Instead you will be able to complete your registration by logging on to Pegasus in mid August using the online registration link.  Once registered, you will receive an email.

Remember this registration will trigger your student loan payment.  If you do not register then your first payment will be delayed.

If you have debts or fees that you wish to pay you can do this by clicking on the Web Payments link under the Finance heading.

If you have not yet had your curriculum approved for next session then you can do so by clicking on the Provisional Curriculum link under the Registration heading, or, if this does not appear, by seeing your Adviser of Studies.

Postal Registration

Part-time and open-distance learning only

Please return the Registration form, corrected as necessary, and payment of fees (see Payment of Tuition Fees) to your Faculty section of Registry. Students paying tuition fees online must ensure that they enclose a copy of the e-mail confirming online payment. New students should also enclose a recent colour photograph, which will be scanned onto their student record, for production of their student identity card (which will be sent to them).


Student Loan Payments / Grants / Bursaries

At the Registration Desk staff will check whether you have applied for a Student Loan / Grant / Bursary, and if so, that your Student Support Number (SSN) is held on our records. We require your SSN to confirm to the Student Loans Company / SAAS / LEA that you have registered. If we have your SSN, you need do nothing further - subject to provision of bank / building society details to the SLC in time, the first instalmant of your loan / grant / bursary will be paid directly into your account on the first day of your course. If we do not have your SSN, you may still register, but will be asked to produce either your SLC Payment Schedule Letter or your awards letter to Registry at a later date - your loan / grant / bursary will be paid directly into your account on the first day of your course, or within 3 working days of the SLC receiving confirmation of your number. Please note that failure to provide this information, if requested, will delay payment to your account.


Data Protection Legislation

Personal data on students held by the University will be processed on institutional machinery, including WWW tools and other Internet software according to Data Protection Principles. Personal data collected, held, and processed in structured manual files held within the University are subject to Data Protection Principles.

Membership of the Students Association

In keeping with the spirit of the Education Act 1994 Part II: Student Unions, the University of Strathclyde offers students the option to notify Registry of their intention to discontinue membership of the Strathclyde University Students' Association. Further details on this can be found here:

ID Card

New student ID Cards will be issued at Registration. Students will be photographed and an electronic image stored. The image, together with personal and course data, will be printed onto their card. The card is valid until the expiry of your course (if you are on a Pass Degree course intending to proceed to Honours, your card will be valid only for the length of the Pass degree; when you start your Honours year a new card will be printed at Registration with updated course details). The Student Identity Card allows access to the University Library (using the printed barcode) and the Sports Centre. Please note that the card is not valid in the Library until the day following the student's registration. Your ID card should be kept safely as you may be asked to produce it at any time as proof of your status.

Replacement Cards 
A charge of £10 will be made for any replacement card issued by Registry. A replacement card may be ordered by completing a form available from outside the Registry Office. The form, together with the appropriate fee should be taken to the Cash Office, where a receipt will be issued. The form should then be taken to the appropriate Registry-Faculty section any day between 2.00 pm and 4.00 pm during term time when a new student card will be issued. During vacation periods cards are issued between 1.00 pm and 3.00 pm each day.

Registration Number

Each student is allocated a Registration Number that remains unchanged for the duration of their course. The number has nine digits, the first four of which are the year in which the student first registered on a particular course. The number appears on the student card (which should be carried at all times) and students are asked to state this number on all correspondence and when they fill out a form for Registry.
