Continuous Improvement - Case StudyTraining Evaluations

Context

Evaluations of training sessions are used to help ensure that the training is providing what participants are expecting and meets their needs. Previously, a paper evaluation form was used with the results being input into a spreadsheet to enable a review of the results and create a performance measure using pivot tables, graphs and PowerPoint.

With the wide introduction of the suite of Microsoft tools at the University, it seemed like the perfect opportunity to review how evaluations scores were created, gathered, and processed.

What changes were implemented?

  • Created evaluations for online use rather than printing on paper.
  • Changed from an online evaluation tool to using Microsoft Forms.
  • Created one training evaluation for all training courses rather than have one for each course.
  • Power Automate flow created to automatically update the spreadsheet with participants scores.
  • Developed a Power BI dashboard to remove the need to manually create monthly performance measure.

What was achieved?

£651 staff capacity saved processing training evaluations.

Improved quality of information used to evaluate training.

31 hours of staff capacity saved processing training evaluations.
